Administrative Assistant

About Legacy Interviews:

Legacy Interviews helps our clients video record loved ones sharing their life stories so that future generations can see and hear their family talking about their past.

Administrative Assistant Role:

We're hiring a flexible, part-time administrator (1099 contractor role, no benefits; ideally 2+ years). Perfect for a former professional returning to work who needs ultimate flexibility for family (school pickups, sick days). St. Louis area required.

The position is ideal for an intelligent, detail-oriented, personable person. In your work, you will meet hundreds of people from all different walks of life, all interfacing with you to receive information needed to record their Legacy Interview, book a speech/workshop from Vance Crowe, or schedule our podcasts.

Education & Skills:

No specific education required. Must demonstrate professional correspondence with clients/guests (written and phone).

Required proficiency in:   

- Light bookkeeping (QuickBooks Online)

- CRM system (Monday.com)

- Mailchimp

- YouTube and digital files

Ability to learn quickly, solve problems, and use AI tools is essential.

Position Details:   

Contractor position, ~10 hours/week, hybrid remote/in-person (one weekly office visit required in Richmond Heights, Missouri). Paid hourly: $35-$40.

Works across: Legacy Interviews, Vance Crowe Podcasts, Vance Crowe Speaking.

Responsibilities:

- Scheduling interviews/meetings for Legacy Interviews, Vance Crowe Speaking, and podcasts

- Sending follow-up emails and phone calls to clients, podcast guests, stakeholders

- Answering phone calls from Legacy Interview clients and inquiries

- Ensuring surveys and contracts are accessible, filled out, and stored

- Managing Legacy Interview workflow through CRM, email, and calendar

- Digitally delivering completed interviews to podcast guests/Legacy clients; creating and mailing final DVDs

- Mailing/shipping via post office and FedEx

- Picking up print materials

- Storing/tracking receipts for purchases (accounting software and physical folder)

- Ensuring office supplies stocked (e.g., coffee/creamer)

- Other duties as assigned

Requirements: Reliable computer, cellphone for remote work; reliable transportation for errands (all within 3-mile radius of office; travel compensated at IRS rate).
