Job Description

Executive Assistant to the CEO / Chief of Staff

Utah County, UT

$80K+/year (DOE)

Position Summary

You are the engine behind the engine. You’ll partner directly with the CEO/founder to manage high-impact projects, align stakeholders, and ensure nothing slips through the cracks. You’ll take ownership of execution, accountability, and coordination across ventures. Your goal: allow the CEO to operate at the highest level, free from operational friction.

You will:

  • Serve as an integrator, driving alignment across businesses
  • Be your leader’s “air traffic controller” — surface what matters, triage noise, orchestrate priorities
  • Communicate and hold teams accountable — you are the glue between ideas and execution

Key Responsibilities

Strategic & Operational Execution

  • Lead cross-functional projects end-to-end (from planning to execution to tracking to closure)
  • Manage and enforce stakeholder commitments and deadlines
  • Design, monitor, and optimize processes and workflows to scale execution
  • Generate reports, dashboards, summaries, and insights for leadership

Communication & Stakeholder Management

  • Serve as primary liaison with internal and external stakeholders
  • Ensure alignment, follow-ups, and clarity of expectation across teams
  • Proactively surface issues, risks, and decisions requiring executive attention

Calendar & Time Leverage

  • Own the leader’s calendar: prioritize, protect, and optimize their time
  • Anticipate scheduling conflicts, buffer time, and context-switch impact
  • Prepare briefing docs, agendas, pre-reads, and post-mortems for meetings

Meeting Logistics

  • Organize, run, and follow-up on key meetings (leadership, board, etc.)
  • Prepare presentations, decks, memos, and strategic summaries

Personal & Boundary Support

  • Handle select personal/administrative overflow (as agreed)
  • Protect the leader’s energy, focus, and mental bandwidth

Qualifications & Attributes

Must-Have

  • 7–10+ years of high-level support, operations, or project roles
  • Experience in scaling startups or growing companies
  • Strong project management skills (e.g. Asana, Monday, Notion, Airtable, or equivalent)
  • Background in marketing, operations, or product
  • Exceptional written and verbal communication skills
  • MBA or comparable training
  • Proven ability to influence and lead without authority
  • Experience supporting multiple ventures simultaneously
  • Extreme discretion and trustworthiness
  • Experience with board-level or investor relations
  • Ability to think 2–3 steps ahead, anticipate needs, and self-manage
  • Experience with personal/team financials, contracts, or legal admin

Nice-to-Have

  • Experience in scaling startups or growing companies
  • Background in marketing, operations, or product
  • MBA or comparable training
  • Experience supporting multiple ventures simultaneously
  • Experience with board-level or investor relations
  • Experience with personal/team financials, contracts, or legal admin

Compensation & Structure

  • Competitive base salary (depend on your market) + performance bonus tied to company and project outcomes
  • Paid for leadership-level contribution, not just hours
  • Clear growth path (e.g. transition toward full Chief of Staff, operations lead, or oversight of EA team)

How to Stand Out / Why Work Here

  • You’ll be working across multiple ventures, meaning exposure to many domains
  • High autonomy and ability to shape your own domain
  • You will not just “manage the calendar” — you’ll help build the company
  • You’ll be backed by a founder who expects excellence, gives freedom, and deeply values the right partner
